Vancouver Coastal Health is looking for a Clerical Supervisor to join the team at the Arthritis Program in Vancouver, BC. Apply today to join our team!

As a Clerical Supervisor/ Administrative Secretary with VCH you will:

  • Perform a variety of administrative support functions for the Medical Director, management team and medical team members of the Mary Pack Arthritis Program/OASIS Vancouver/OASIS Regional Program.
  • Assist with
    • maintaining appointment calendars,
    • typing a variety of technical and non-technical material, spreadsheet and graphic software,
    • attending meetings to provide secretarial support and follow-up action, preparing meeting rooms and drafting correspondence,
    • processing travel requests and maintaining database of accounts, preparing cheque requisitions, compiling and maintaining a variety of statistical/financial information.
  • Supervise more than ten (10) designated staff by performing duties such scheduling and coordinating work assignments, evaluating employee performance and determining related training and orientation requirements.
  • Receive and process approved requests such as vacation, leave of absence and paid medical appointments.
  • Set up and maintain filing systems, identifies supplies and orders replacement items.

Qualifications

Education & Experience

  • Grade 12, graduation from a recognized secretarial program and three years' recent, related experience including one year in a supervisory capacity or an equivalent combination of education, training and experience.
Knowledge, Skills & Abilities

  • Ability to keyboard at 60 w.p.m.
  • Knowledge of Medical Terminology.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to deal with others effectively.
  • Physical ability to carry out the duties of the position.
  • Ability to supervise.
  • Ability to organize work.
  • Ability to operate related equipment.

The hours of work including days off and work area may be subject to change consistent with operational requirements and the provision of the Collective Agreement and applicable statutes. Successful applicants may be required to complete a Criminal Records Review Check.

As per the current Public Health Orders, as of October 5, 2023, all employees working for Vancouver Coastal Health must be fully vaccinated for COVID-19 or have received a single dose of the most-recent, updated COVID-19 vaccine. Proof of vaccination status will be required.
